Office Administrator & Receptionist

Due to increased global growth in the business, we are looking for an individual to join our team as a Office Admin & Receptionist at our Head office in Basildon of Alpi UK Ltd.
Working to cover reception duties and undertake administration tasks as listed under job duties and responsibilities.
Hours: Monday – Friday 08.30 hours – 17.30 hours – one-hour unpaid lunch (40 hours per week).
Salary: £19,500

Job duties & Responsibilities

• Cover reception duties during lunchtime, sickness, and holiday periods.
• Issue visitors’ cards and COVID secure safety workplace checks.
• Place orders for all office’s stationery requirements.
• Scanning, filing and distributing mail both electronically and physically
• Answering the phone and transferring/taking calls
• Checking stocks for stationery and refreshments daily on each floor and reporting back when supplies are required
• Carry out check of all drivers domestic run sheets and queries.
• Filing of all Proof of Deliveries (PODs).
• Distribute sales invoices and associated paperwork for the import department to customers.
• Filing of documentation for operational departments.
• Order and administer staff uniform.
• There is a requirement to work flexibly.
• Running adhoc errands
• Any additional tasks identified by the Office Manager commensurate with experience.

Skills & Qualifications

• Experience of Freight Forwarding/Road freight, export/Imports charging (desirable).
• Ability to prioritise own workload but also be able to work as part of a team
• Conversant in IT skills e.g., Microsoft Office Suite (Word, Excel) and ability to learn new systems
• Demonstrate working administrative background
• Excellent time management, planning and organisational skills
• Good customer service skills.
• Must be flexible with working hours.

• The First Group 100 bus amongst others stop on the Pipps Hill Retail Park (ASDA B&Q, TK Maxx etc.) – Route: Lakeside – Chelmsford.
